Terms of Service

These Terms of Service (“Terms”) govern use of the CA Hub platform by Chartered Accountant users and their organizations. By accepting the current Terms version, you agree to these Terms.
1. Acceptance
You must accept the current configured Terms and Privacy Policy versions before using CA application routes. If the configured versions change, renewed acceptance may be required.
2. Eligibility and authorized use
CA Hub accounts are provisioned for authorized Chartered Accountant users. Public self-registration is not the primary onboarding path. You may use the platform only for lawful professional purposes related to client document collection and workflow management.
3. Account responsibility
You are responsible for safeguarding your credentials, maintaining accurate account information, and for activity performed under your authenticated session.
4. CA user responsibilities
- Enter and maintain client information lawfully and accurately
- Request only documents appropriate to the professional service and period
- Use Client Portal magic links responsibly and only for intended recipients
- Respect confidentiality and professional obligations applicable to your practice
5. Client information and documents
Client information and documents are customer content submitted or entered in connection with Service Requests. CA Hub provides tools to store, organize, reuse (where Client + Document Type + Period match), and process that content for the platform’s intended workflow purposes.
6. Acceptable use
You must not misuse the platform, attempt unauthorized access, interfere with security or availability, upload unlawful content, or use the service for purposes outside client document collection and related CA workflow management.
7. Document ownership / customer content
As between you and CA Hub, customer content remains associated with your professional use of the platform. CA Hub processes customer content to provide the service. [CUSTOMER CONTENT OWNERSHIP LANGUAGE — SUBJECT TO LEGAL REVIEW]
8. Service availability
We aim to keep CA Hub available and reliable, but the service may be interrupted for maintenance, failures, or circumstances beyond reasonable control. [SERVICE LEVEL COMMITMENTS — TO BE FINALIZED]
9. Third-party services
The platform may rely on hosting, email, storage, and messaging providers depending on deployment configuration. WhatsApp notification workflows are architecturally supported and may depend on a configured provider.
10. Notifications
The platform may send operational notifications and reminders related to Service Requests and document collection through supported channels such as email and WhatsApp workflows.
11. Subscription and billing terms
CA Hub includes a subscription-plan and subscription lifecycle foundation. Live online payment checkout and automatic payment collection are not currently implemented as a production payment gateway flow. Commercial pricing, renewal, and refund terms are governed by the applicable plan and finalized commercial policy. See the Refund & Cancellation page.
12. Intellectual property
CA Hub software, branding, and related materials are owned by the platform operator or its licensors. These Terms do not transfer ownership of platform intellectual property to you.
13. Security
CA Hub implements practical security controls such as authentication, authorization, private document storage design, hashed portal tokens, and auditability features. No system can be guaranteed perfectly secure.
14. Suspension and termination
Access may be suspended or terminated for policy violations, security risk, non-payment under an applicable commercial arrangement, or other legitimate operational reasons. [TERMINATION NOTICE PERIODS — TO BE FINALIZED]
15. Disclaimer
CA Hub is a document collection and workflow management platform. It is not accounting software, tax filing software, legal advice, or a substitute for professional judgment. 18. Changes to terms
We may update these Terms. When the configured Terms version changes, CA users may be required to review and accept the updated version before continuing to use CA application routes.

20. Platform administration disclosure
Authorized DocuCollect / CA Hub platform administrators may access and, when operationally necessary, modify platform, account, or client data for legitimate purposes including customer support, security, compliance, platform operations, and requested data correction. Access is limited to authorized administrators and is not unlimited or unrestricted for all personnel.
